How this is counted. Every email carrying a property is matched to its Gmail thread, and every customer reply on that thread is read. “Times emailed” is emails sent; “Buyers reached” is how many different people that was, since an active buyer is often sent the same property again on a later follow-up. “Sent to” lists them (first name and surname initial). “Replies back” is customer replies on that thread, with quoted text stripped and cross-property mentions excluded – if they wrote about a different property in the same email, it is not credited here. A signed referral agreement cannot exist without a viewing having been requested, so an agent’s viewing-request count is never lower than their referral count. It is not the two added together – the request that produced the referral is only counted once. Beyond that, “viewing requests” combines two sources: customers who asked in writing by email, and inbound requests captured by Chloe, my AI enquiry handler, which names the listing agent and the property directly. Chloe went live on 9 August, so her figures cover three weeks, not three months. “Agent contact” is where the listing agent joined the thread to deal with the buyer directly. Rows marked PARTNER are outside brokerages whose stock I market on my own brochure pages – a referral is a referral, so they are counted the same way as eXp colleagues. Every one is quoted verbatim under its property.
Everything on this page covers the same period: 1 June to 3 September 2026. Emails sent and referral agreements signed are measured over the identical window, so the two can be compared directly. My own listings are excluded – I am not referring to myself. A signed referral agreement means the buyer went to that agent and a viewing happened. One referral was done on a handshake with no paperwork raised; it is counted and labelled as such. Referrals from before this window, and anything that came from my own contacts rather than the matching system, are excluded. Referrals are taken from the eXp referral tracker, not from email – they are signed or pending referral agreements where a buyer or tenant of mine went to that agent. That is the hardest number on this page. Dates and agreement numbers come from the Dropbox Sign notifications in my inbox.
Email is a floor, not a ceiling. Viewings arranged by phone leave no trace here, and a further customer replies came in on emails carrying several properties without naming one, so they could not be credited to a single listing. Both mean the true engagement is higher than the columns show.
